About the role

What will I be doing?

  • To assist with the Company’s tendering activities in terms of production of tender documentation, administration of the tender process, client liaison and management of documentation received in order to increase the client base of the Company.
  • Provide support in the assessment of bids and tenders;
  • Provide support in the use of eSourcing;
  • Maintain tender documentation and ensure appropriate filing and distribution to the tender team; 
  • Preparation and presentation of PowerPoint Presentations and communication as required by the tender team;
  • Ownership and completion of supplier information forms to set up with new clients
  • Ownership an production of PQQ responses
  • Invitation to Tender (ITT) responses, GANTT plans and reports as required by the purchasing organisation;
  • Management and responsibility for procurement tools such as Achilles, Builders Profile, Safe Contractor
  • Management of a content library with up to date certificates and standard content;
  • Drafting of communications to companies during the tender process;
  • Maintain the Company’s relationships, where appropriate, with existing and potential suppliers. This includes the production and manipulation of reports (Excel) to provide the necessary reporting
  • Arrange meetings with the relevant staff to support the bid governance process;
  • Maintain various internal records and produce reports as required from time to time by the Commercial Director
  • Respond to and initiate emails as required, communicating professionally and with attention to detail;
  • Organise, co-ordinate and attend meetings as required within each bid’s process.
  • Carry out general clerical / administrative duties as required by the Tender Team.

What are the Requirements?

  • 3+ years’ experience in a bid department
  • Detailed knowledge of the tendering process;
  • Demonstrable track record of drafting tender documents, correspondence and letters;
  • A proven track record of different tendering routes including use of OJEU processes and government frameworks would be an advantage.
  • The ability to prioritise effectively and work to strict deadlines;
  • Excellent organisation and administrative skills;
  • Excellent interpersonal skills;
  • A strong grasp of the English language with the ability to draft content for bid submissions
  • Strong analytical skills;
  • Advanced IT skills and proficient in the use of Microsoft Office Packages (Outlook, Excel, Word, PowerPoint) and database management;
  • An understanding of project scheduling and planning;
  • Understanding and working knowledge of cultivating strong relationships with existing and potential customers;
  • Confident and professional telephone manner;
  • Excellent attention to detail;
  • Good team working skills;
  • Ability to communicate effectively;
  • Strong time management, planning and organisation skills;
  • The ability to multitask working on several projects at any one time;
